| INFORMATION FOR RESEARCHERS :: COPY FORMATS
We can provide reproductions in the following formats:
Photocopies
Manuscripts and Archives can provide paper copies of finding aids and materials from its collections. Self-service copying on library equipment or on personal photocopiers is not permitted. Prices are dependent upon whether the reader places an order in person or by mail.
- Finding aids (in-person and mail orders): $.10 per page
- Yale printed matter, book material, material from manuscript collections or university archives:
* In person: $.35 per page
* Mail orders: $35.00 minimum charge
When a researcher at a distance requests photocopies of materials, the reference staff must identify the materials and prepare the description on the order form. In many instances there are no tools to help the staff match items to specific topics. The reference staff will do as much as it can in an hour to identify discrete items and will provide the reader with an invoice for any photocopying. The charge for the resulting photocopying will be $35.00. If discrete items cannot be selected, the staff will request the copying of an entire folder or several folders and will provide the reader with an invoice based on a charge of $35.00 per folder.
Copies can be delivered as traditional paper photocopies, or through an electronic file transfer process (EFT) in which you download a pdf file directly to your computer from a Yale server. You would receive an email with a URL and directions to complete the download. Please indicate your choice of delivery method on the form below. We do not send images through email.
Digital Images and Prints
Manuscripts and Archives can scan images up to 600 dpi, in black and white or color, in the image format of your choice (jpeg, tiff, etc.), and provide them on CD or through an electronic file transfer. There is a charge of $15.00 per image from the Manuscripts and Archives Digital Images Database (MADID) image database and $25.00 for new scans up to 11"x17". The minimum charge for scans over 11"x17" is $38.00. Shipping charges are extra. Self-service scanning is not permitted.
We can also provide prints of images from our holdings. Prints are made from scans. If no scan exists, the patron will pay for the new scan and for the print. For a print made from an existing image in MADID, the patron will pay only for the print. Prices are dependent on the size of the print requested. Typical prices for prints from an existing image in MADID are:
- 5x7 print: $12.00
- 8x10 print: $20.00
- 11x14 print: $25.00
Readers may bring personal cameras into the reading room for note taking. No external flash is allowed.
Prior arrangement is required for individuals needing to photograph collection material for publication and distribution. This must take place in another supervised location, and users must complete all arrangements, select the items to be photographed, and pay for the supervision costs before any camera equipment may be set up. No external lighting may be directed at materials to be photographed.
Reproduction in and from Microformats
Manuscripts and Archives encourages inquiries concerning reproduction in microformats, though we cannot routinely reproduce collection materials on microfilm and microfiche because of the labor intensive and costly nature of the work.

Duplication of Audio-Visual Materials
Manuscripts and Archives can make copies of audio-visual materials in its collections for personal or production use.
Copies can only be made from an existing duplicating master. If a copy of the original does not already exist, a researcher may be required to pay for the creation of the duplicate, which Manuscripts and Archives retains.
All copies are made by Yale Media Services, unless format or condition warrants the use of an outside vendor. We base our charges on vendor price schedules, which are subject to change without notice.
