INFORMATION FOR YALE OFFICES :: RECORDS SCHEDULES
In an effort to preserve
and maintain its history, Yale University seeks to retain certain documentation
concerning campus planning and space management at Yale. Specific
topics of interest include:
- The planning of the university campus as a coherent whole;
- The distinctiveness
of certain parts of the Yale Campus, including the Old Campus, Central
Campus, Hillhouse Avenue, the Medical School, Science Hill, and the
Divinity School;
- Determination
of land use and the reservation of sites for specific structures or
other uses;
- Planning for the flow of pedestrian and vehicular traffic on campus;
- Considerations for the physical relationships between Yale and New Haven;
- Considerations for the overall aesthetics of Yale's campus; and
- Campus space usage and needs over time.
Archival records
(Permanent records should be transferred to the Archives.
Please arrange timing and frequency of records transfer with Archives
staff.)
- Annual reports from the Office of Facilities and the University Planning Office.
- Meeting minutes and supporting materials concerning campus planning and space management
- Official drawings of the Yale campus
- Official maps of the Yale campus
- Official photographs of the Yale campus
- Plans and proposals relating to the planning and design of the campus as a whole
- Records of the Corporation Committee for Architectural Planning
- Topical files and correspondence of the university planner and the associate vice president of Facilities.
- Summary survey
or inventory records regarding building space, including those records
that are used to measure usage of space; project Yale's space needs;
make decisions concerning maintenance, construction, and renovation;
and provide cost recovery support documentation

Office of record
The Office of Facilities and the Yale Corporation
maintain the record copy of documentation concerning campus planning
and space management. Individual units that are not responsible
for the creation of such records, but that maintain duplicates of
such works or related materials, should destroy these files after
they are no longer needed. |

- Room assignment and room change records
