INFORMATION FOR YALE OFFICES :: RECORDS SCHEDULES
In an effort to preserve
and maintain its history, Yale University seeks to retain certain documentation
research initiatives conducted by members of Yale University. Specific
topics of interest include:
- Scientific breakthroughs;
- Program achievements;
- Development of
areas of expertise for Yale's scientific community, including research
centers and institutes;
- Administration of scientific research initiatives; and
- Research and
development records, including but not limited to hypotheses, planning/designing
of processes, testing and analyzing results.
Archival records
(Permanent records should be transferred to the Archives.
Please arrange timing and frequency of records transfer with Archives
staff.)
- Annual reports
- Charters and
agreements between the research center and/or sponsoring agency and
Yale
- Constitutions, missions, and vision statements of the research centers
- Copyright, patent, and trademark records
- Laboratory notebooks (or their electronic equivalent)
- Policies and procedures for administration of research initiatives
- Project records
- Publications and forms produced from research initiatives
- Records of sponsored projects and awards
- Unpublished reports regarding the research project

Office of record
Individuals, units, and centers conducting or
administering research projects maintain the record copy of documentation
concerning science, technology, and science research. Individual offices
that are not responsible for the creation of such records, but that
maintain duplicates of such works or related materials, should destroy
these files after they are no longer needed. |

Non-permanent records
requiring temporary retention for legal purposes
(Unless
otherwise noted, destroy 7 years following active use or fiscal year of
creation, whichever is later.)
- Animal subject records
- Commercial cooperative
records documenting relationships between commercial businesses and
university research initiatives
- Contracts between the research center and/or the sponsoring agency, and the university
- Human subject records
- Institutional review board records (where the Food and Drug Administration is involved)
- Research misconduct records
- Standard research agreements
- Technology transfer records concerning the transfer of research results to external agencies
