Bibliographic Import/Replace Profiles

YL Import Conditional

 

This profile should be set as the default profile for all catalogers.  It will use the following fields to compare an incoming record with records in our database:

 

035 |a (System Number)

010 |a (LCCN)

020 |a (ISBN)

020 |z (ISBN: Cancelled/Invalid)

022 |a (ISSN)

022 |z (ISSN: Cancelled)

 

The system will search our database for an exact match in any of these fields to the same field and subfield in the incoming record.  If an exact match is found, a dialog box will open listing the matching record(s) in our database.  The operator then has the choice to open the matching record to compare against the incoming record, ignore the match and add the record as a new record, replace the database record with the incoming record (using our YL Overlay profile), or merge the record with the database record (using our YL Merge profile.)  He can also choose to back out of the import attempt.

 

This profile should not be used as a substitute for searching the database.  If a match is found, the operator should examine the records carefully to make sure it is an exact duplicate.

 

YL Merge

 

If the YL Merge profile is chosen as the default profile for a session, the system will search for exact matches to incoming records on the following fields:

 

035 |a (System Number)

010 |a (LCCN)

010 |z (LCCN: Cancelled)

020 |a (ISBN)

020 |z (ISBN: Cancelled/Invalid)

022 |a (ISSN)

022 |z (ISSN: Cancelled)

 

If an exact match is found on any one of these fields the record will automatically be added to the database overlaying the database record with the incoming record but retain the “merge” fields from the database record as defined in our profile (035 and 948 fields).  The operator will not be given a choice of what to do unless more than one match is found.  In that case a dialog box will open and the operator has the choice to open the matching records to compare against the incoming record, ignore the match and add the record as a new record, replace the database record with the incoming record (using our YL Overlay profile), or merge the record with the database record (using our YL Merge profile.)  He can also choose to back out of the import attempt.

This profile should not be used as the default profile but rather as one of the options when a duplicate record is found under the YL Import Conditional profile.

 

YL Overlay

 

If the YL Overlay profile is chosen as the default profile for a session, the system will search for exact matches to incoming records on the following fields:

 

035 |a (System Number)

010 |a (LCCN)

020 |a (ISBN)

022 |a (ISSN)

 

If an exact match is found on any one of these fields the record will automatically be added to the database replacing the database record entirely.  The operator will not be given a choice of what to do unless more than one match is found.  In that case a dialog box will open and the operator has the choice to open the matching records to compare against the incoming record, ignore the match and add the record as a new record, replace one of the database record with the incoming record (using our YL Overlay profile), or merge the record with the database record (using our YL Merge profile.)  He can also choose to back out of the import attempt.
