Place
Requests: Help
Yale faculty,
students, staff, and authorized affiliates may place a variety of requests
directly from Orbis. Patrons whose records are blocked for any reason
will not be able to use the Request Menu. For information on charge limits,
fine limits, and other possible block reasons, please contact the Privileges
Office or a circulation
desk.
To place
a request, first search for a specific item. Once you have displayed
a bibliographic record, click on the Place Requests button on the
top or bottom of the screen. If you are not already logged in, you will be prompted
to log in using either your Yale NetID and password or barcode
on the back of your Library-issued ID Card (Visitor Card or Proxy Card)
and your last name.
When you are logged in, you will find brief instructions
for different types of requests for material that the library does not currently own,
and a drop down menu with two options for materials that the Library currently owns.
For items not not available in the library, select the appropriate type of request to proceed.
- Use the On Order link for items with a status of 'on order'; these have been ordered by the Library but are not yet received.<
- Use the Purchase Request Form link to request that the Library purchase material not owned or on order. The request will be forwarded to a library selector for review.
- Use the ILL/Borrow Direct link to request materials through the Borrow Direct or ILL system, for materials not currently available at Yale Library.
Borrow Direct is a cooperative program between Ivy League university libraries, which allows us to share library materials. If any of the participating universities has an available copy of the book you are looking for, it can be shipped here for your use usually within 4 business days.
Or you may wish to submit a request for this item to Interlibrary Loan. For more information about ILL/Borrow Direct loan periods and policies, please speak with a member of the Reference staff or see the Interlibrary Loan web site at http://www.library.yale.edu/ill.

Recall
items checked out
Yale borrowers
can place a recall for an item found in Orbis. Recalls can only be placed
for items that are checked out, not for items available on the shelf.
(Note that items with a status of 'in process' are charged to a library department, and may be recalled) A recall will allow the current user to keep the book for two weeks from
the date it was checked out or for one week from when the recall is placed.
When the item is returned it will be placed on the Hold shelf for you
at the Circulation Desk of your choice and you will be notified. The item
will be returned to the stacks if not picked up after 14 days. All materials
are subject to recall after 2 weeks. Periodicals are subject to recall
without any waiting period.
After you
have selected the Recall option from the drop down Request Menu:

If you want to place a recall on any copy of the item at any location,
click the Any Copy button. If you want to place a recall on a specific
copy, select the copy of the item from the drop down menu.
- If
you log in with Library-issued Visitor Card or Proxy Card, enter the
barcode on the back of your card (skip this step if you log in with
Yale NetID).

Select the location where you want to pick up the item from the Pick
Up At drop down menu.
- Enter
the number of days after which you will not need the recall in the "Not
Needed After" text box. Do not leave the number of days blank or
your recall may be cancelled by the system.

Click the Submit Request button to submit your request. Otherwise, click
the Clear Form button to clear all of the fields.

Be
sure to hit Log Out to clear the session or click on the New Search
button to resume searching.
Note: The system
will not allow you to place a recall on any item you currently have charged
out or have placed a recall on already.
Request
staff search or delivery
By choosing
this option, patrons will be able to:
- choose
a pickup or use point for the book they are requesting (valid pickup
locations are denoted by an asterisk);
- place
a request for an item at the Library Shelving Facility (LSF);
- request
an item be paged (retrieved from the stacks and brought to the circulation
desk for you) at libraries where this service is offered;
- request
staff to search an item missing in the stacks;
- submit
comments about the request.
After you
have selected the Request staff search or delivery option from
the drop down Request Menu, you will normally be presented with a screen which indicates that ORBIS is able to process your request. Simply complete with the required information:
- Select
the library at which you would like to pick up or use the item you are
requesting. (Valid pickup locations are denoted by an asterisk).
- If you
log in with Library-issued Visitor Card or Proxy Card, enter the barcode
on the back of your card (skip this step if you log in with Yale NetID).
- Specify
a particular copy if more than one is available.
- Include
any comments about the request in the Comments box.
- Enter
the number of days after which you will not need the recall in the Not
Needed After text box. Do not leave the number of days blank or your
recall may be cancelled by the system.
- Click
the Submit Request button. Otherwise, click the Clear Form button to
clear all of the fields.
- Be sure
to hit Log Out to clear the session or click on the New Search button
to resume searching.
For both types of requests selected from the drop-down menu, you will receive an
e-mail notification informing you when
your item is available for pick up. You can also look at Your Library
Account to check on the status of your request.

Place
Request Form: Help
Occasionally ORBIS will not be able to automatically process your request. The most common reasons your request could not be accepted for automatic processing are:
- Reserve Materials are not eligible for paging or delivery. You may, however, make use of this item at the appropriate Library with the reserve borrowing policy in effect.
- Art and Architecture material is not eligible for delivery to other libraries. The Art and Architecture library does not participate in Eli Express or the electronic paging system. You will therefore need to apply directly at A&A for access to this item. Their email address is: art.library@yale.edu
- The material is "checked out" and you did not select "recall items checked out" from the drop down menu. Use your browser's back button to return to the Request screen and select "recall" from the drop down menu.(Note that items with a status of 'in process' are charged to a library department, and may be recalled.)
- The title is non-circulating or your selected a non-circulating instance or edition form the Orbis Search Results list. In order to determine if another instance or edition of your requested material is circulating, revisit the Search Results list if a selection list was provided. If no circulating editions are available, you must visit the library (e.g., Beinecke) or special collection (e.g., Arts of the Book) to use the material. Note that the Bass Travel Collection and the Yale College Council DVD collection housed in the Bass Library may not be requested for delivery to other libraries.
Other reasons why your request may not be accepted for automated processing include:
- The item is already charged to you. Please check your home and/or office area for this book.
- The item has already been recalled for you; the reader has been notified of the recall and there are no additional actions we can take for this item at the present time. You will be notified as soon as the book becomes available.
- The item is already on hold for you.
- The title or requested volume is not owned by the library; you may wish to use Borrow Direct or ILL
- The item is housed at the Film Study Center at 53 Wall St. in the Whitney Humanities Center, and is not available for request through ORBIS. Please consult the Film Studies web site at http://www.yale.edu/filmstudy/ for information about hours and loan policies.
To continue your request for missing or lost materials, or for any other materials, click on Request Form, enter the appropriate information and Submit. Your request will be queued for manual support.
