Services Media Procedures

Document objectives
This document provides an adaptable training guide for library personnel
handling the circulation of non-book and mixed media in Access Services
units within the Yale University Library community. Adequate training
necessitates that employees have general experience with Voyager's circulation
and callslip daemon modules, including activating holds and identifying
call number, location and item types, and be familiar with routing procedures.
Trainers should have examples of various media formats, cases, and security
shells for illustration. Media examples should include items both with
and without physical and online errors.
Incoming new media from Technical Services
- Arrives at circulation in cases.
- Check call number in Voyager's library circulation module against
label for accuracy. If they do not match, give all pieces to a supervisor.
- Place item into correctly sized security shell (closed reserve items
are not placed in security shells).
- Shelve in general stacks, reference, or closed reserves according
to item location listed in Voyager.
Charging and moving media
General collection and reserve items
- Patron retrieves item, or requests closed reserve item.
- Circulation staff removes item from security shell (not applicable
for closed reserve items).
- Place security shell in storage receptacle (not applicable for
closed reserve items).
- Inspect pieces and condition.
- Match barcode and title on pieces to those in Voyager. If they do
not match, give all pieces to a supervisor.
- Charge out.
Callslipped (paged) items for delivery and hold shelf
- Staff retrieves item from appropriate location.
- Remove item from security shell.
- Place security shell in storage receptacle.
- Inspect pieces and condition.
- Match barcode and title on pieces to those in Voyager. If they do
not match, give all pieces to a supervisor.
- Activate hold.
- Place on hold shelf, or send to requesting unit without security
shell.
Discharging media
- Inspect pieces and condition.
- Match barcode and title on pieces to those in Voyager. If they do
not match, give all pieces to a supervisor.
- Discharge.
- If your library owns the material, place it in a security shell and
shelve. If not, then route it to the owning library without a
security shell. Closed reserve items do not need security shells.
