SCOPA Meeting Minutes

19 April 2006

 

Present: Michael Forstrom, Kevin Glick, Marsha Garman, Kelly Hovendick (recorder),  Jennifer Krivickas, Cindy Roman, Eileen Smith (chair), Camilla Tubbs

Absent: Este Pope

1.  Minutes approved from April 5.

2.  Meeting Maker proposals for forums

  • Eileen requested that forum proposals be sent from the responsible individual’s MM account to all committee members
  • In addition the forum should be added to the SCOPA MM account

 

3.  Sub-committee reports

  • Grants – May 5th Grants Forum will take place; all arrangements have been made (Cindy & Jen)
  • Mentor Program – Mentors who had volunteered a while ago are being contacted to verify their availability; questionnaire/form for new interested mentees is being updated; two new mentees contacted the Mentoring Committee and will be appropriately paired with mentors (Camilla & Kelly)
  • New Librarians Orientation – Kevin changed the date from early May to May 23rd, 11:30 –1 because he did not have the list of new employees given to him in time; please respond to the MM proposal that was sent out for this so that he knows if enough SCOPA members can attend (Kevin)
  • Web site – Este & Marsha continue to clean up the web site and create new archives; please send any suggestions to Este or Marsha

 

4.   Attendance from 4/11 forum on RSS Feeds & Blogs for Professional Development  --  approx. 20 (waiting on final count from Este)

                       

5.  Forum updates

  • Grants Forum – 5/5 (Cindy & Jen – all arrangements made)
  • “Librarians Without Borders” – Patricia Thurston – 5/19 (Marsha has made arrangements)
  • CT History Online – first week of June (Camilla has commitment from one speaker and is waiting on confirmation from another; she will verify date)
  • Committee Participation – (Kelly – ALA; Marsha – non-ALA; Este – local/regional) – Sept. ?
  • Professional Publishing – Michael – date?
  • Volunteer Opportunities for Promotion Portfolio – Jen – date?
  • Promotion Portfolio – Joan Swanekamp - Sept.
  • “State of the Library – Alice Prochaska – Oct. (Camilla)
  • Promotion Forum – Diane Turner – Nov. (Kelly); request for one to be held in morning and another on different day in the afternoon to accommodate different schedules
  • Access to Cultural Materials and Their Images – Nov. (Cindy)

 

6.  New ideas for forums

·         Kevin shared a suggestion from a colleague to show a 20 minute documentary (perhaps over a summer lunch) on the National Library of France called “All the Memory of the World;” Kevin will look into another documentary or two to show with this; July/August; any ideas should be forwarded to Kevin

·         Eileen shared that beginning next year there will be a separate forum done by Diane Turner on promotion for M & Ps (non-librarians); Joan Swanekamp will be doing the forum in Sept. on promotion for supervisors & candidates (M & P librarians) ; Eileen suggested that SCOPA offers a parallel session for M & P non-librarians; Kevin suggested that SCOPA differentiates very clearly what these  various forums will offer and what population; the committee agreed that it would be helpful to announce and define all the forums in September together

 

7.  Library Committees Fair

·         Eileen announced that LiSA & the Library Communications Committee will host the Library Committees Fair on June 15 from 2:30 – 4:30 either in SML Lecture Hall or the courtyard. SCOPA will participate in this. Eileen volunteered to staff the table but has requested another volunteer. Please contact Eileen if interested.

 

8. Lecture Hall equipment

·         There was discussion over the equipment set-up in SML Lecture Hall and concern over how to configure it. Eileen suggested that we have a small training session for just SCOPA committee members to learn how to use the equipment; Marsha will find out who the contact person/department is for this; Eileen will schedule during a regular SCOPA committee meeting time

 

9.  “SCOPA Guidelines for Forum Planner”

·         Eileen asked the committee to review the new guidelines that Michael Colavolpe shared in his most recent email as these affect SCOPA guidelines; Please review and bring SCOPA Guidelines for next committee meeting for discussion
