SCOPA Meeting Minutes

December 6, 2006

 

Members present: Kelly Barrick, Marsha Garman, Kevin Glick, Jennifer Krivickas, Este Pope, Cynthia Roman (recorder), Eileen Smith (convener) and Camilla Tubbs

Absent: Michael Forstrum

 

1.  Minutes approved from November 15th meeting

 

2.  Sub-committee reports

 

Publications:

Eileen presented for Michael. He has made further additions to update the list.

 

Mentoring:       

Kelly & Camilla presented an announcement for yulib to call for Mentors.

Questions came up about time commitment in case supervisors asked. Once every two weeks is suggested as a guideline.

An announcement for the SCOPA mentor program will be sent out in January. Eileen suggested that it would be good to match up mentors and mentees before ALA midwinter meetings

 

Grants:

Cindy reported that the revised application for one grant was received and reviewed. The sub committee and LMC members approved the grant and it is now with Diane Turner for final review. Cindy will phone Diane for her response so that an announcement can be made before the December 15 deadline.

Eileen noted that a reminder should be sent to 2006 grant recipients that mid-term reports are due January 15.

 

3. Notes from Eileen’s meeting with Diane Turner

 

The SCOPA transition meeting will be January 10 at 3:30 in the SML Lecture Hall. One person from each sub committee will report on what each group does. This can be very brief (two or three minutes).

 

4. Eileen reminded the group of her request for summary paragraphs from each subcommittee on activities and accomplishments this year. This need only be raw data of 2 to 3 sentences. Please submit by December 20.

 

5. Forums:

            December 8: Cataloguing Cultural Objects (Cindy)

Presenters: Matthew Beacom, Yale University Library and CCO advisory board member; Elisa Lanzi, Smith College Imaging Center and CCO editor; Ann Baird Whiteside, MIT, Rotch Library of Architecture & Planning and CCO editor)

 

Half day forum. 10:30-12 will be open to everyone.

There will also be an afternoon session by invitation only and a follow-up from the morning session. The afternoon session will be for appropriate individuals and stakeholders from YUL, Yale University and the art centers. Light refreshments will be served.

 

6. Thinking of 2007

AOB co-sponsorship (Camilla: January 19)

Motivational Speaker (Jen: February 1)

Snapshot Series: February 2007 Beinecke JWJ Collection. Diane Turner suggested that the Diversity Council co-sponsor this event. Amanda Patrick is the contact. Nancy Kuhl is the suggested presenter from Beinecke. Kelly Barrick will organize for SCOPA.

           

7. Scheduling Events

In the past SCOPA was the only group to organize events. Now that many others are doing so as well, in the future SCOPA might consider cutting forums down from 2 per month to 1 per month in the future. New Librarians or Promotion Review are additional to this equation.

 

Eileen reported that Diane Turner suggested that SCOPA write guidelines for scheduling and coordinating forums Library wide to avoid overlaps and conflicts. Amanda Patrick and Michael Colavolpe might be included in the discussions.

 

8. Web page

            Changes to the mentoring page were approved.

Library Governance page changes were approved including a page with LMT names and pictures submitted by Kevin.

Communications: The link to the 1931 Library Gazette will be removed from Publications list.

Kevin will make a link to a sample agenda for New Librarians Orientation

 

9. Other business

            Some members reported difficulty with the Committee interest web form.

 

10. Last meeting

December 6 was the last meeting. December 20th meeting will be cancelled.  Eileen thanked everyone for his or her participation. Eileen was recognized for a great job as SCOPA Chair.
