SCOPA Meeting

March 1, 2006, 3-4 pm, SML 411

 

Present:  Eileen Smith (chair), Michael Forstrom, Marsha Garman (recording), Kevin Glick, Jennifer Krivickas, Este Pope, Camilla Tubbs.

 

Absent:  Cindy Roman, Kelly Hovendick

 

Minutes from Last Meeting (February 15, 2006):

Since the minutes from our last meeting on February were only distributed shortly before today’s meeting, Eileen said she wanted to wait to approve them until everyone had had a chance to read them during the week.  We will follow an approval process via e-mail.

 

Meeting Maker:

 

Eileen announced that everyone is now proxied on Meeting Maker.  She asked that as members schedule forums, they should add them to the Meeting Maker SCOPA calendar.

 

Committee/Sub-committee Reports:

 

Grants – Jen and Cindy sent out an e-mail during the week - nothing more to report.   Cindy will be corresponding with Sandy Peterson.

 

Mentor – Kelly and Camilla will be meeting next week.

 

Web – Este has started moving documents into new folders.  She has found some problems with access due to permissions on files and directories.  If Marsha can’t change the permissions, Karen R. will need to be notified.

 

New Librarians Orientation – Kevin will schedule this for May.   If the SML lecture hall is unavailable, possibly we will hold this event in Beinecke.  Jen was wondering if we could hold a catered event in Beinecke.  She will investigate.

 

Forums:

 

Applying for Grants forum – Kevin reports no activity yet.

 

Patricia Thurston’s Librarian’s Without Borders forum – Marsha reports Patricia has been absent a lot due to dealing with moving her mother to New Haven.  M. has sent e-mail to P. but has not received a response yet.  Will reschedule this forum when Patricia is ready.

 

Greg Sharrow forum is scheduled for April 5th.

 

Abdul’s History of Paper is tentatively scheduled for March 30th.

 

Joan Swanekamp will do her forum on the Promotion Process in September instead of May.

 

Este will talk to Kalee Sprague about doing a POG/RSS feed forum in April.

 

New Forum Proposals:

 

Connecticut History Online - a collaboration between libraries, museums, and historical society.  Camilla will contact Connecticut History Online about a possible presentation for May.  Eva Bolkovac may also have some information about this project as she worked on it before coming to Yale.  This forum will be a representation of collaboration between libraries and community resource services.

 

Jae Rossman asked if SCOPA would be interested in co-sponsoring an Arts of the Books conference in 2007, by covering the costs (approximately $1,000.00) for one of the speakers.  After consulting with Diane Turner, Eileen said this request was not within the mission of SCOPA as it currently stands.  Also, this would encumber significant funds beyond the term of the current committee.

 

Cataloging Cultural Objects (Matthew Beacom).  This could become a 1/2 day mini-conference involving different departments.  We discussed a possible November timeframe.

 

Kevin is finishing a project with Tufts/Yale re: preservation of electronic records (Fedora project).  They will be on campus at the end of the Month (March).  He is going to see if he can get them to present a SCOPA forum on their project. 

 

Other Business:

 

Eileen told us she met with Roy Bolander in reference to SCOPA funds.  We do have a balance should we need to draw on it for presentation expenses.

 

Eileen also reminded us that a thank you note should be sent to speakers after their SCOPA presentation.  She has Yale stationary for this purpose.

 

Eileen will not be available for the March 10th forum.  Michael F. will be in charge of water, etc.
