SCOPA Meeting Minutes


SCOPA Meeting: 9 October 2000

Time: 2:00 p.m.
Place: Room 411 SML.

Present: Cynthia Crooker, Ellen Doon, Calvin Hsu, Tom Hyry (Chair), Jennifer Kostelnik, Stephanie Schmitt (recording), Diane Turner.

Absent: Erika Heinen, Dajin Sun

ANNOUNCEMENTS:

NEW LIBRARIAN ORIENTATION:

A list of librarians new to the Yale University Library system was distributed and SCOPA members were asked to participate in coordinating the orientation meeting by personally inviting the new librarians to attend the Orientation for New Librarians meeting scheduled for October 26, 2000. SCOPA members volunteered to take on this initiative and as a result all of the new librarians will be contacted by a SCOPA representative who will in turn send an RSVP to Erika Heinen.

The expected attendance at the new librarian orientation meeting is between 25 and 30 persons.

Ellen, Erika, Diane, and Tom will meet together prior to the orientation meeting to coordinate the details of the meeting.

FORUM UPDATES:

Fall Series Update:

Title of the Series: Scholarly Electronic Publishing in the 21st Century: Trends, Models and Impacts on Information Services Dates of the Series:
Session 1: Monday, October 23, 2000, 2:00 p.m. - 4:00 p.m.
Session 2: Thursday, November 9, 2000, 2:00 p.m. - 4:00 p.m.
Session 3: Monday, November 20, 2000, 3:00 p.m. - 5:00 p.m.

Tom will contact John Vincenti to ensure that the contractors know that there should be no drilling along Wall Street during the scheduled sessions.

On the day of the sessions, lunches will be provided for our speakers. Attendance by SCOPA members is encouraged with the gentle reminder that non-speakers will be responsible for covering their own meals. The short lists for luncheon guests are still being coordinated. Contact Jennifer with all suggestions regarding the final details for the Fall Series.

Series flyers for posting on bulletin boards were distributed among the SCOPA membership. Copies of the electronic file for the flyers will be provided by Jennifer as requested. Members are encouraged to assist in advertising the Fall Series by placing the flyers in appropriate places viewable by the staff and public on the Yale campus. The advertising for the Fall Series includes posting announcements to the Yale Bulletin & Calendar, the Yale Daily News, and to the staff members of the Yale University Press in addition to postings to YULIB-L.

The monies saved on the transportation costs for the speakers will allow SCOPA to cover all reasonable costs.

Refreshments for all three sessions are being coordinated by Stephanie.

Dale Flecker Forum Update:

As advertised, Dale Flecker will be giving a presentation on library digital initiatives, systems architecture, and the role of OPACs within the broader library information environment. Stephanie has not yet heard from him regarding the specific title of the presentation. The forum will be held on Wednesday, November 1, 2000 from 3:00 p.m. - 4:30 p.m in the SML Lecture hall. Stephanie will send a second announcement to YULIB-L on Monday, October 30, 2000.

Orbis2 Update:

Audrey Novak and Scott Bennett requested that this forum be pushed back from the original October date.

SCOPA GRANTS

The 3rd and last advertisement encouraging members of the library community to submit grant applications will be sent shortly. Erika Heinen will contact the two members from LMC who will participate as members of the SCOPA Grant Subcommittee. The SCOPA grant budget is $5,000 and Tom charged the Grant Subcommittee to approve appropriate grant requests within the means of the budget. The deadline for the SCOPA grant applications is Tuesday, October 31, 2000.

WEB PAGES REGARDING PROFESSIONAL PUBLICATIONS

Stephanie will take responsibility for the development of the SCOPA website listing professional publications by member of the Yale University Library.
