SCOPA Meeting: 11 September 2000

1. Announcements

- Ellen continues to work on a future forum planned for Ann Okerson. Discussion will be focused on a report issued by the Committee on Information Technology Strategy for the Library of Congress (of which Ann was a member) and its impacts on the Yale Library.
- Step is talking to Audrey to map out details for the upcoming Orbis2 forum.
- Tom is still arranging the forum on the University Archives 300 project, scheduled for January 2001.
- Step volunteers to work on a forum featuring Dale Flecker of Harvard.

2. Fall Series

Planning of the Fall Series has reached the final stage: All speakers have agreed to participate and the date and time of the forums are being finalized. Tentative schedule looks like the following:

- Session 1: Oct. 24 (subsequently changed to Oct. 23)

  Robert Apfel, Professor of Mechanical Engineering, Yale University
- Session 2: Nov. 9
  Zsuzsa Koltay, Manager, Project Euclid, Cornell University Library

  Keith Seitter, Associate Executive Director, American meteorological Society
  David Stern (moderator), Director of Science Libraries and Information Services, Yale University Library
- Session 3: Nov. 14/Nov. 16 (subsequently changed to Nov. 20)
  Ann Okerson, Associate University Librarian, Yale University Library
  Kimberly Parker, Electronic Publishing & Collections Specialist, Yale University Library
  R. Kenny Marone, Director, Cushing/Whitney Medical Library, Yale University

One remaining issue is the travel expenses, esp. transportation, for speakers from out of town. Dajin wondered if invitations should be sent out to those speakers before the budget for the series is approved. Diane assures the Committee that she has no problem accommodating should the budget hover around $1000. Tom hopes eventually to have a yearly budget for SCOPA on non-grants activities and plans to raise the question to LMC. Diane asked that an estimate for the entire calendar year be submitted for future discussion.

3. New Librarians' Orientation

The Committee was informed that there will be 15-20 new librarians for the orientation, in addition to the few who missed the last one. Led by Diane, Committee members reflected on the last orientation and reiterated suggestions made during an earlier meeting (17 April, 2000) ranging from forum length to the use of acronyms. It was decided that documents containing useful information for the new librarians should be gathered together and simultaneously made available at the website of Library Human Resources and that of the SCOPA committee. Diane also suggested leaving 2 minutes at the end of orientation for librarians to fill out the evaluation form.
