Minutes for SCOPA 1997 Wrap up meeting

Announcements:
Library Systems Office has purchased an excellent projector for use with PC; info to be added to the SCOPA web page section on scheduling meetings and equipment
Please hold Friday, January 30, our regular time (2 PM) for the convening of the new SCOPA. All outgoing and continuing members should plan to attend this meeting. Process of appointing new members is underway.
Programming:
Summary of programs pending:
· Special Collections (pt 2), scheduled for Jan 23
· Yale Finding Aid project (Jan 27, 2-4, SML)
· Don Waters/Digital Library Federation (Jan 29/SML lecture hall)
· Art School Dean - deferred to SCOPA 1998
· Digital "Slow Fires" - Conway? / Musto was following up; status unknown
· Digitization "primer" - Conway? / e-mail query sent to Paul Conway, but no response to date
· Librarian in residence in April (?) / F. Musto was coordinating; status unknown
Recently Completed:
· Promotion Review Forum minutes have been posted to the SCOPA site and an e-mail sent to YULIB to inform people of this
· Special Collections
· fair was a great success
· CDC has decided to do this annually; to be sponsored by BRBL
LMC meetings
· summary report on Committee info and mentoring was distributed to SCOPA members and a final copy forwarded to Richard Szary (past-LMC Chair and Alan Solomon, current LMC chair)
· procedures on how newly established rotational positions on library committees will be filled is to be worked out by 1998 SCOPA with LMC and key committee chairs
· mentoring

· group approved the overall look of site
· Diane G-H will ask Bill Fray if he will take over SCOPA page maintenance, now that she has joined the SCOPA Grants subcommittee in his place.
Committee survey web pages status report :
Gillian G. reported that she followed up with Gloria Huckaby, but GH had made to progress to date on transferring web site to a Library Administration URL; Gillian will follow up again with GH to make sure this happens before the SCOPA transitional meeting. She'll also ask GH to inform us of when this is done so an announcement can go out to YULIB.
SCOPA Grants
· final reports from 1996 recipients due January 31; they have been reminded
· Members decided that it was advisable to establish officially a "chair" of the grants sub committee, from the continuing subcommittee membership; agreed that Gillian Goldsmith would chair the 1998 subcommittee, and that Diane Goldenberg-Hart would fill the current vacancy for continuing members.
Other business / announcements:
Recommendations for SCOPA 1998:
· establish position of program coordinator to:
· post to library calendar
· oversee timely issue of announcements and reminders
· help sheperd along AV support, room reservations, $, etc.
· M&PSA/SCOPA joint meeting in early 1998 cycle, to discuss programming coordination, etc.
