1. Approval of Minutes
Minutes from the May 2 and April 18 meetings were approved.
2. Library Committee Survey
Forms for the joint SCOPA/LMC survey of the Library's committees were mailed to all M&Ps. Raquel C. has been getting responses. The deadline for returning completed forms is May 23.
3. Programs
Sarah Prown -- On Monday, May 19, at 10:30 am in the SML Lecture Hall, Sarah Prown will present a talk on the Library's research workstation, originally given at a conference in London earlier in the year. Gillian G. will make the introduction and ensure that the necessary equipment gets set up by Rachael Bowman and/or Fred Martz. Nicole B. will look into getting a microphone from AV, since it has been reported that the Lecture Hall microphone is broken. Diane T. suggested that we look into who will be doing equipment setups after Rachael's departure since her replacement may not be in place right away.
Ann Calabresi -- On Wednesday, June 4, at 3 pm in the SML Lecture Hall, Ann Calabresi will present a talk on New Haven. The talk will be videotaped.
Nicole Bouche -- Nicole B. will present a talk on the Yale SGML Finding Aid project during the summer, to coincide with the project's website being made public.
New Haven Public Library -- Nicole B. received a suggestion from Danuta Nitecki that SCOPA sponsor a talk by the new director of the New Haven Public Library, which is celebrating its 75th anniversary. Possible topic is resource-sharing among New Haven institutions, with emphasis on improving town-gown relations. The head of the New Haven Colony Historical Society could also be invited; together they could participate in a panel discussion. Idea ties in nicely with Ann Calabresi's talk. The Committee agreed to give Danuta the go-ahead to issue an invitation, for a summer date if possible. Manon T. suggested that SCOPA might want to make this, and Ann Calabresi's talk, a joint program with M&PSA. Nicole B. will talk to the chair of M&PSA to explore the possibility of joint endeavors between the two groups.
Special Collections at Yale -- Chris W. is pursuing ideas with Don Waters and Paul Conway regarding a possible fall program on Special Collections at Yale.
Scholarly Editing Projects -- Nicole B. and Manon T. are pursuing ideas regarding a possible fall program on scholarly editing projects in the Library.
Allison Richard -- Nicole B. received a suggestion from Scott Bennett that SCOPA invite the University Provost, Allison Richard, to speak. Within the university hierarchy, Scott reports directly to the office of the provost. Possible topic is the role of the Library in the University. The Committee agreed the idea was a good one and will further explore ideas for topic and format of talk, probably for the fall.
4. Grants Program
Manon T. reported that Bill Fray has almost finished mounting the1996 and 1997 grant proposals and final reports on the Web, and that she has updated the list of grants with links to these documents.
Nicole B. reported on her meeting with Scott Bennett regarding issues relating to the grants program. Regarding the issue of whether to permit funding extensions for grant recipients, Scott suggested that SCOPA summarize its policy in a written document and circulate it to LMC and other interested parties. Regarding the issue of unsuccessful grants, Scott agreed that the situation is not ideal and suggested that SCOPA further refine its criteria for judging and/or better communicate with recipients to clarify expectations regarding possible problem areas, especially at the beginning of the cycle and perhaps as part of the deliberation process itself. Manon T. and Nicole B. will draft documents for the group's approval.
