SCOPA Meeting Minutes


SCOPA Meeting: 17 April, 2000

Present: Cynthia Crooker, Ellen Doon, Erika Heinen, Calvin Hsu (recording), Tom Hyry (Chair), Jennifer Kostelnik, Stephanie Schmitt, Dajin Sun.

Absent: Diane Turner

Announcements:

Budget forum was canceled due to ongoing deliberations on next year's budget; new date has not been set. Forum on university archives, originally canceled due to conflict w/ the budget forum, has not been rescheduled. Bob Strauss' forum is still on schedule.

Tom related concerns from outside the committee that perhaps the budget forum should be restricted to employees of m&p status, due to sensitive nature of the topic. Committee members felt that no library personnel should be deprived of information about the library budget, and strongly urged that the forum be open to all. Otherwise different venue should be sought.

Orientation for New Librarians:

Tom reported that for the latest round of the orientation, only 3 (2 responded to rsvp) out of 13 new librarians participated. There was no representative from Library Administration/Human Resources (Tom will send email to Diane w/ regard to this matter).

Question was raised whether the orientation should be made mandatory for all new librarians. Possible improvements for future sessions were suggested:

General:      Tom thought it might be desirable to revise the guidelines for panelists, e.g. use fewer acronyms.
Background info:      Erika proposed preparing and distributing information packet to participants in advance.
Length:      Cynthia felt that some segments (e.g. Library Associates) could be shortened.
Starting time:      Some thought that 9 a.m. (instead of 9:30) should be advertised, to leave room for coffee and social time.
Participants:      Most suggested postponement for sessions having fewer than 5 participants.

Future Forums:

Summer Series (on Library Departments)      Erika promised to start emailing and calling LMC members for possible participation in the series. Erika will show generic email message(s) she hopes to use for solicitation purposes.

Fall Series (on Scholarly Communications)      Dajin, Jennifer and Stephanie agreed to look for suitable topics and come up with a structured proposal for the series by the next meeting. Tom suggested looking at past minutes for possible topics/speakers.
