SCOPA Meeting Minutes
6 August 2001

Announcements
Ellen welcomed Pamela and Todd to the committee. (Existing members introduced themselves at the end of the meeting, following Richard's suggestion.)

Forums
Ellen reported that the last forum, "Free Access to Published Scientific Research," was not well attended as anticipated. She considered it to be a learning experience, albeit an expensive one. The audio tape will be donated to the library.

The symposium on digital projects in the Yale Library is set for 9/20 at the Beinecke auditorium (seating capacity: 70). Poster sessions will be set up at an adjacent room, where featured databases will be available for interested staff to try out. A catered coffee break will be provided in the mezzanine. However, lunch with forum participants may not materialize, as the keynote speaker may have to leave early for some other events scheduled for the next day.

Alice Prochaska's forum, a Questions and Answers session with the library staff, is scheduled for 9/26, 2-3 p.m.

Grants application workshop with Bill Wallach is on schedule (10/5). Carolyn Claflin will be on hand to answer questions.

Jock Reynolds' forum on conserving the American art legacy is set for 11/29.

The Scholarly Editing Projects forum isn't scheduled yet, and may have to be postponed until the Spring because of scheduling conflicts among the four participants (Edwards, Franklin, Boswell, and Parliamentary Papers).

Jae has made some inquiries and is waiting to hear from a few people, including Theresa Fairbanks, a conservator at the British Art Center, and some book artist elsewhere, for a potential forum on the history of paper.

Members decided to follow Ellen Ellickson's suggestion to invite Patricia Thurston and/or Matt Wilcox to talk about their recent activities in Eastern Europe assisting libraries in that region. Calvin volunteered to contact the two for a possible joint forum.

The committee decided to put off the idea for a forum on the Mellon Grant e-journal archive project until next year, when the project has been completed and the participants might have some conclusions to share.

Orientation for New Librarians
Orientation for the new librarians is set for 10/11, 10:30 a.m. - 12 noon.

Publications page
Jae reported that the publications page has been edited (by a group of volunteers) to follow the Chicago Manual of Style. A question was raised as to how long the publications of a departed colleague should be listed. It was decided that regular updates be scheduled to coincide with the quarterly calls for listing announced to the yulib-l.

Web page design
Members agreed to adopt the templates developed by the Front Door Committee for the SCOPA Web site. Jae anticipates the conversion to the new design to be complete by the end of the year.

Grants
No update was available on grants activities, due to Cynthia's absence. Ellen called for a volunteer to fill a vacant spot in the subcommittee.

Next meeting
Next meeting will be on 8/27. The only item on the agenda will be to introduce Alice Prochaska and to give her a sense of what the committee does.
