Minutes for SCOPA Meeting, March 19, 2001

Announcements
The budget currently is $3100. Hence, there is money to bring in speakers.Website
- Jae has been changing the headers, footers, contact information, and colors for the top-level pages. She encouraged other members to submit links for the staff resources page to add to the website. She also encouraged other members to look at the site, check links, and inform her of any problems.
- Ellen requested that the "Yale Meeting Spaces" page be updated to show that the Beinecke Lecture Hall is available for use.
- Jae asked whether the "Publications of Yale Librarians" page should really be restricted to the latest two years. The page originally said that it only included the latest two years of publications, but there are many older publications on it. It was decided to change the parameters to the past five years.
Orientation for New Librarians
- Ellen gave an overview of the Orientation for New Librarians, which is scheduled for Thursday, April 5th. She passed out the schedule, the list of packet contents, and the list of new librarians.
- Present members volunteered to contact new librarians to verify their attendance. They will report to Ellen ASAP concerning who is planning to attend. A definite count is needed to determine how to proceed. Diane noted that the LHR orientation schedule, which includes this event, has already gone out to new librarians, and urged that the orientation not be cancelled even if low attendance is expected. In contacting new librarians, members should emphasize that attendance is expected. We should also make sure that new librarians know where the Sterling Spoon is.
- Richard volunteered to talk about library listservs in the orientation.
- Jae volunteered to help Ellen set up the room. Jae will also be responsible for organizing the Orientation for New Librarians next year.
- The information packets still need to be completed. After asking where to get information, Ellen took responsibility for gathering missing pieces in the packet. Jae and Ellen will make sure that the hyperlinks are accurate.
- Ellen requested that all SCOPA members attend the Orientation for New Librarians to answer questions, etc.
Forums
- Ellen received a suggestion to have a follow-up forum to Scott Bennet’s recent talk, so that he may report on the reception of his paper in China. It was decided to combine the follow-up report with his retirement speech.
- Raquel V. Cogell, Yale’s first librarian in residence, will speak the first week in June in conjunction with the release of her book, “Diversity in Libraries: Academic Residency Programs.” Other Yale librarians in residence will also be asked to speak for 10-15 minutes about their experiences, what they are working on, why they chose their areas, etc. It was also suggested to include librarians who participated in similar programs outside of Yale.
- Ellen tried to contact Kris Hammond, of the Intelligent Information Laboratory at the University of Chicago, again but did not receive a response. It was decided to table this idea and move on.
- Audrey Novak will talk about ORBIS 2 in late April.
- The grants forum will take place in April. Cynthia is waiting for one more report.
- Ellen received a suggestion to have Jock Reynolds, director of the Art Gallery, speak about artwork in traditionally black colleges. It was decided to try to schedule this right away.
- Michelle volunteered to organize the grants writing forum. The forum might include either a panel of librarians who have successfully received grants or an outside speaker.
- Ellen reported on the work that she, Michelle, and Step have completed on the Local Information Sharing Sessions (formerly the Summer Series). The first forum will concern managing and providing long-term access to born-digital resources at Yale and emphasize the different strategies that Yale archivists and librarians have employed. Panel speakers will include Tim Young (about the Beinecke’s strategy for dealing with obsolete formats), Anne Marie Phillips (about Manuscripts and Archives’ strategy for the university’s electronic records), Paul Conway (on archiving electronic journals), and Julie Linden (about managing social science data). It is scheduled for May. Max Marmor will be asked to moderate. The second forum will concern local digitization projects. Jen Weintraub will moderate. Potential representatives include the Beinecke, Map Collection, Law Library, Divinity Library, Peabody Museum, and the Art Gallery. Ideas for a third session are still in the works.
- Jae suggested that John Pull, from the Library of Congress’s American Memory Project, speak in a forum. She will contact him.
