SCOPA Meeting Minutes

Holly Grossett-Nardini has a question concerning the website. Jae will contact her about it.

A decision was agreed upon that in the future when Ellen sends out the email with the upcoming meeting agenda, she will state who will take minutes. This way the person can be prepared, or another person can be notified if that person will not be in attendance.

STOD Fair:
On May 24 SCOPA will participate in the STOD fair. We will share a six-foot table with WAG. All needed furniture will be supplied; SCOPA must bring any handouts or signs. It was determined that 50 brochures would be enough for the day. Step is preparing the Mentoring brochures and Richard will provide the Grants brochures. We will also print out the Publications page from the web to give away, but not make as many as 50 copies. Jae will make an approx. 11x14” free standing sign for the table which will include the SCOPA logo and web address. Ellen will purchase some form of individually wrapped candies to have on the table.

The table must be staffed from 10am ­ 3pm. Ellen would like to have two people cover the table when possible, especially during lunch. A schedule was worked out between the members of SCOPA who will be able to donate their time on that day: Ellen, Rochelle, Michelle, Richard, and Calvin. Ellen will send out an email with the finalized schedule.

Forums:
1) John Pull ­ Jae inquired of the group what would constitute an interesting talk from the suggestions given by the speaker. It was decided that our audience would enjoy a brief introduction about what is going on at the American Memory Project in general and then a talk about the speaker’s expertise in one format, and the issues that surround that format. A brief question and answer session will follow the presentation. Jae noted that the arrangements had been made for the lunch before the presentation.

2) Born Digital ­ Jen Weintraub will moderate this forum on May 30 from 1:30-3:30. She will speak with the panel members ahead of time and alert them to the types of questions she will ask.

3)Raquel Cogell - This forum will take place on June 5 form 10:30 - 12noon. Ellen will send out the notice over Yulib. It was agreed to have lunch after the talk, but to keep the number of invitees small as it needs to be a quick affair in order for Raquel to catch her ride to the airport.

4)Digitization Projects Symposium ­ We are waiting to hear from the Systems Office about the key speaker. If Ellen does not hear soon, she will contact them.

5) Bill Wallach ­ Michelle is arranging this speaker who is tentatively scheduled for sometime in September about grant writing. Paul Conway was also going to make some comments, but as he is leaving, a new person needs to be found for this forum.

6) Scholarly Editing Projects ­ As the four collections (Franklin, Boswell, Parliamentary, Edwards) are having difficulty agreeing upon a time, this forum may be rescheduled for the fall. This decision also makes sense in that the incoming UL will be able to attend the session if she so desires.

7) Audrey Novak ­ She will give another session on Orbis 2 sometime in the end of June.

Publications Page:
The scope of exactly what will be put on the page was discussed as interest in the page has taken off and the amount of entries are growing rapidly. Decisions were made to: take off entries when someone leaves the YUL system, include a more specific scope note about possible submissions on the page or directly linked from the page, only include items that are published in print or online in journals, books, or other scholarly resources. Items such as Library publications, copy editing, and presentations (not published in a text format) will not be included.

The next meeting will be on June 4, as the regularly scheduled meeting falls on a holiday.
