SCOPA Meeting Minutes
October 29, 2001

Forums
There is still time in early December to schedule forums.

Promotion Review Forum: After discussions with Diane Turner it's been decided that there will not be a second forum targeted at LIs and LIIs who are still a year away from promotion review. Julie Linden (who suggested the forum) is working with Diane to make sure the regular forum is marketed to all librarians who will eventually go up for promotion.

Librarians without Borders. Calvin announced the rescheduled forum over YULIB and included a reference to the continuing series.

Rochelle invited Tatjana Lorkovic to speak in the next round of the Librarians without Borders series. Tatjana accepted and suggested Rich Richie as a co-speaker. The next step is to set up a date and time. It may be put off until Spring depending on other forum activity.

The question arose regarding how to solicit additional speakers for the series. The process should be defined in the next announcement for the series. It was agreed that two methods would be used to apply for the Librarian without Borders series, 1) via abstract, sent directly to SCOPA and 2) via nomination (an abstract would then be requested).

The Jock Reynolds forum has been rescheduled due to room availability. It is now being held on Tuesday, November 27 from 3-4:30.

Kris Hammond's forum is scheduled for December 11 from 10:30-12. He will be flying in the day before and leaving soon after the lecture. Ellen may assume responsibility for his airport transportation as Connecticut Limo has drastically reduced its service. We will advertise the forum to the Computer Science Department faculty and students, because Hammond is an alumnus. Ellen suggested if Kris does stay for lunch to invite Alan Solomon since he suggested that SCOPA invite Kris to speak.

The Elaine Koretsky forum is still pending. Jae will be speaking with her on Wednesday, October 31 to firm up a date. The forum may be put on hold until spring. Jae will notify Rochelle regarding the scheduling of the paper forum, so that Rochelle can schedule the second Librarians without Borders forum.

Audrey Novak will present another Orbis II forum on November 20th, from 2-3. The Scholarly Editing forum is still pending. There is interest from the projects, but no specific dates. Todd will replace Ellen as the contact person for this forum. It is likely to occur next year.

Barbara Shailor will be available for a forum next spring (after March). Suggested topic: life before Beinecke and the future of the Beinecke library.

Todd suggested Hugh Cobbe from the British Library as a presenter and Alice Prochaska, a former colleague of Mr. Cobbe, was consulted for advice. She contacted Mr. Cobbe, and reported back to SCOPA that he would speak on Music Acquisitions in the British Library if SCOPA invited him and was able to schedule a forum in January. Forum time is limited in January due to ALA midwinter.

Todd also suggested SCOPA invite James Welbourne, head of the New Haven Free Public Library to speak. Everyone agreed this was a good idea and will be put on the schedule for next year.

Committees
Mentoring: Stephanie reported (via Ellen) that there have been no inquires since the New Librarian Orientation regarding the Mentoring program.

Grants: Cindy reported (via Ellen) that there have been no grants submitted as of Monday, October 29, 2001. The deadline for submitting applications is Wednesday October 31, 2001. Richard reported that he received an inquiry regarding larger sized grants. SCOPA grants are normally $500- $1000.The Grants committee, Cindy, Richard and Pamela will meet in November to review any applications received.

Publications Page: Jae posted the "Statement of Purpose" to the publications page.

The discussion regarding the scope of the publication page continued. It was decided to keep the publications page a "publications" page, but to consider the possibility of creating a second page to capture other activities librarians participate in that contribute to the profession.

The discussion on how to document the broader range of activities was tabled until the next meeting.
