SCOPA Meeting Minutes
March 5, 2002


Present: Jae Williams (chair), Richard Boursy, Mary Caldera, Todd Fell, Eric Friede (recording), Cecile Mandour, Pamela Mann, Rochelle Smith. Absent: Stephen Jones.


Forums

Jae reported that Katy Hall (432-1810; katherine.hall@yale.edu) is the new person to contact for scheduling the Sterling Lecture Hall and the Sterling Spoon.

Discussion of the March 5th semi-annual Librarian's Report to SCOPA concluded: 1. questions should be prepared ahead of time to be asked during the question and answer period; 2. minutes from the forum will be posted on the SCOPA website, linked from the forums page.

Jae called for volunteers for: To do the official welcome for the March 19th Orbis2 Update (volunteer: Pamela); To send out the YULIB-L announcement for the March 27th presentation by Barbara Shailor (volunteer: Mary).

Jae reported that Alice Prochaska has requested a SCOPA forum slot for May to report on Yale University Library strategic planning.

Rich said that he and the grants committee will work on scheduling the 2001 SCOPA grants recipients presentation for April or May.

Todd reported that James Welbourne, the director of the New Haven Free Public Library, is interested in speaking at a SCOPA forum. This would be separate from any M&PSA event. Todd will continue to pursue this.

Travel

Eric reported on the work of the Ad Hoc Committee on Professional Travel in the Library. He announced that a SCOPA forum on travel had been scheduled for April 11th, 1:30 to 3:00. He distributed copies of the announcement of the committee's formation that had been sent to M&P library staff on March 1st and solicited comments on the procedures included in that document. Comments should be emailed to Eric. He also reported that the travel committee is surveying travel policies at peer institution libraries and that they are collecting passages from the goal group reports relating to professional travel.

New Librarians Orientation

There was discussion of the best way to distribute information without overwhelming the new librarians with paper. The conclusion was that the Orientation agenda will be distributed ahead of time to the new librarians, but only after designated SCOPA members have called, or as a last resort emailed, the new librarians to invite them personally to the Orientation. The agenda will include the URL for the "Professional Resources" SCOPA web page. That web page will be updated to include current information. A printed copy of the agenda with URL will be handed out. The brochures for the SCOPA mentoring and grants programs will continue to be distributed. New brochures will be or already have been updated by their respective committees. Other printed materials such as the Library Associates brochure and Nota Bene will continue to be distributed.

Responsibility for the various parts of the Orientation was discussed. The agenda is included here with responsibility indicated in parentheses.

The committee discussed catering for the Orientation, concluding that Mary should order a selection of sandwiches, half of which should be vegetarian, and juice should be ordered in addition to water. The catering menu was passed around and members were asked to give their preferences for sandwiches, if any, to Mary.

Jae will confirm with Diane that scheduled Orientation date and time of April 12th, 12:00 - 1:30, is final.
