Scopa Meeting Minutes

February 3, 2003

Announcement

Howard Dodson from Schomberg will be speaking at the Beinecke Library on February 27th from 12-1:30pm. A light lunch will be served at the conclusion of his talk.

Budget

The current SCOPA budget was reviewed and discussed. Mary explained that SCOPA receives $5000 at the start of the new fiscal year in July, but this money is reserved for funding grants. Funding for New Librarian Orientations comes from a separate budgetary line item.

Forum Leader Responsibilities

Reviewed the responsibilities for forum leaders, with the caveat that others on the committee could assist with the duties listed below:

·        Contact potential speaker (make sure not to commit speaker until location and dates are confirmed).

·        Contact Katie Hall to reserve the Lecture Hall, or other venue.

·        After confirmation, provide Daniel with information for updating SCOPA forum page.

·        Ask speaker for equipment needs and make arrangements to have requested equipment available.

·        Order refreshments (if necessary).

·        Introduce speaker.

·        Conduct head count.

·        Send thank you letter to speaker.

·        Take speaker to lunch/supper (It is customary to take speaker out for a meal—for an afternoon session this usually means lunch. SCOPA covers the cost of the speaker’s meal and travel expenses.)

Forum Update

Dennis Norlin, Executive Director of the American Theological Library Association, will speak on February 6, 2003 at 3pm in the SML Lecture Hall. Mary received a price quote from an outside vendor for 20 people. The committee decided that was too expensive, and Cecile will contact Yale Catering Services today to see if they can provide refreshments. Committee members will also put post handbills created by Mary for the talk at our respective libraries.

Mary gave an update concerning Laura Bush as a potential speaker.

Forum Topics

Committee went around the table and voted for their favorite topics. The top vote getter was History of YUL by Judy Schiff of M&A. Mary will contact Judy about giving this presentation, possibly during the summer.

Martha Smalley presenting on the newly renovated Divinity Library was another heavily voted topic. Eric will approach Martha and consider how this forum could accompany the Divinity Library open house, which will occur in April or May.

Other topics where with lots of interest included: copyright, C&T focused topic, security issues, talk by Audrey Novak and Fred Martz, cartographic curiosities, talk by AULs, user forum with faculty and students, scholarly publishing in electronic age. These topics, especially the first two (copyright and C&T focused topic), will be discussed further at the next SCOPA forum.
