SCOPA Meeting Minutes

April 12, 2004

Announcements:

 

Soraya reported that the newly updated SCOPA “Recent Publications of Yale Library Staff” web page has been announced to the YULIB-L.           

 

Nancy stated that we have done more than we anticipated this semester, so she proposed that we should slow down a little bit in terms of forum planning for the fall--especially since several fall forums have already been scheduled. One more forum in the series regarding library education will be held in the fall, though that forum may be more locally focused than the previous ones.

 

 

SCOPA and Inclusiveness:

 

Nancy has contacted Diane Turner about the new “About SCOPA” text and will discuss further with Diane about SCOPA and inclusiveness. Nancy will report to us at our next meeting.

 

Grants Subcommittee Visit to LMC: 

 

Polly reported that the SCOPA Grants recipients’ presentation to LMC on March 24 was a successful event. After a brief introduction of the Grants program to the LMC, four recipient groups from 2002-2003 gave thorough reports about their projects and answered questions.

 

New Librarians Orientation:

 

Shawn reported that the next SCOPA Orientation for new librarians is scheduled for April 28th from 11:30-1:00 in the Spoon, and a half hour is reserved for socializing. Nancy will send an email to new librarians; a SCOPA member will invite them personally and find out if they would be able to attend.  Duties assigned at the meeting were: Carla - Mentoring program brochure, place-cards & nametags; Polly - Grants Program brochure & Dunkin' Donuts coffee; Nancy - Library Associates brochures; Soraya - blue folders & Nota Bene; Shawn - Agenda & feedback survey, box of herbal teas. The deadline for brochure updates and printing is April 26. The packet will include agenda, brochures and survey. Nancy suggested that information about the SCOPA members and relevant URLs should be listed on a half-page sheet. Shawn asked that members came around 11:15 a.m. to help setting up and greet the new librarians.

 

The idea of creating a general SCOPA brochure is favorable among the members. Daniel will check with student about designing a SCOPA bi- or tri-fold brochure.

 

Speakers for the orientation session will be decided later. Topics to be covered include SCOPA charge and programming, Communications at Yale University Library, Professional service and professional development, and Library Governance.  Since we will have another meeting before the Orientation, more details will be discussed at our next meeting.

The LISA representative will not be invited to the Orientation because the organization has changed its scope and will be introduced to new staff during the regular New Staff Orientation.  



Forums Follow up, Progress, Etc.

 

Polly has sent the announcement to YULIB-L for the SCOPA Grants forum on April 27.

 

Soraya has scheduled Julie Linden to speak on Economic Growth Center Digital Library on May 18. 

 

Daniel mentioned that Kimberly Parker asked if SCOPA was interested in hosting a forum for her to talk about Digital Library Federation Initiative creating functional requirements of an e-resource management system. Members felt it was an interesting topic. A forum date will be set later.

 

 

Next Meeting:

 

The next meeting will be on Apr. 26 at 1:30 in SML 411.
