SCOPA   Meeting Minutes - Draft

15 March 2004

 

Present: Nancy Kuhl (chair), Carla Heister, Rowena Griem, Huei-ju “Polly” Chang, Soraya Magalhaes-Willson, Shawn Steidinger (recording), Abdul Hannawi

 

Absent: Daniel Dollar, Diane Turner (ex officio)

 

Announcements: Abdul Hannawi introduced himself as the newest member of SCOPA, replacing Michael Strom, who has left Yale for a position in Texas.

 

SCOPA and Inclusiveness:

Text of “About SCOPA” was discussed.  Suggestions included cutting some history for brevity, but general feeling was that length is fine, and history is important to keep.  Nancy will come up with another draft to present at a later meeting, and discussion will resume.

 

 

Mentoring Program Review:

Carla pointed out that interest in this program tends to peak after each Orientation for New Librarians, so this topic will be moved to the meeting following the next Orientation, which is tentatively scheduled for the last week in April.  Abdul could be added to subcommittee if interest warrants. Discussion was held about opening program to C&T’s interested in librarianship. Soraya mentioned that she has been approached by several grads interested in this career – should we consider offering this program to non-employees (anyone on campus) as well? Nancy will discuss this further with Diane Turner.

 

New Librarians Orientation:

Shawn reported that the first task to accomplish is booking Diane Turner and then the Spoon. Diane has indicated that she will be away from the 15th to the 23rd of Apr, so sometime during the week of Apr 26 would work best. Once Diane is confirmed, and the Spoon is booked, Shawn will check with SCOPA members’ schedules.

 

SCOPA Survey:

Soraya submitted the survey to select staff at SSLIS and did not any receive response.  This may indicate that that C&T staff felt that SCOPA didn’t apply to them or wouldn’t help in their careers at this point.  Soraya suggested that perhaps we should try to query other Yale Library organizations such as LISA, STOD or the Communications Committee to get ideas for forums that would appeal to a broad variety of staff here at YUL.

 

Forums Follow Up, Progress, Etc.:

Polly submitted an idea for a future forum (Fall 2004?) re: the Preservation/Conservation dept here in the library. Rowena will check with Bobbie Pillette about a presentation on what this department does.

 

Nancy brought up the issue of having refreshments at some forums, such as the Mar 29 Library Education Forum & the Apr 1 CLIR forum.  Shawn will provide information to anyone who needs it concerning coordinating refreshments.  Yale Catering has menus & prices on their website at: http://www.yale.edu/dining/catering.htm.  Safe estimate for Mar 29 and Apr 1 would be coffee and & cookies for 50 people…

 

Announcements regarding Mar 29 & Apr 1 forums should go out now as well as the day of YULIB. Nancy will consult with Diane re: inclusiveness & coverage statements to be included in publicity for these forums.

 

Nancy will also check on chairs for the dais and tables for any brochures & refreshments for the forums.

 

Next Meeting

Originally scheduled for Mar 29, but due to conflict with forum that day, Nancy will tentatively try for first Monday in April (04/05/04).  She will confirm this date/time in an email to SCOPA members. Main topic will be Orientation prep.
