  1. New Librarians Orientation

Tom passed out the agenda for the orientation that will take place on Tuesday, October 12, at 9:30am in the Sterling Spoon Meeting Room. All SCOPA members are encouraged to attend this event.

Tom also pulled together the materials for the informational packet that will be passed out to the new librarians. He noted that some sections, such as the list of Library e-mail lists were out of date. Tom will work with Diane Turner and her staff to update this document, including the new promotion documents, and to produce copies that will be handed out at the orientation.

Last week, Diane sent out an e-mail message announcing this gathering. She will handle reserving the room and obtaining the food as was agreed at the last SCOPA meeting.

  2. Open Forum on Mentoring

The open forum on mentoring will take place on Tuesday, October 5, at 10am in the SML Lecture Hall. Jim urged all SCOPA members to attend. Jim also noted that many people from the library community have expressed interest in this project. For people who cannot attend the forum, complete minutes of the discussion will be made available.

The members of SCOPA decided that the discussion should be allowed to flow freely, but that issues and concerns should be introduced in an attempt to focus the discussion. With this in mind, Jim volunteered begin the forum by introducing the topic. He will be followed by Tom who will express some of the concerns raised at the meeting of librarians at the LI or LII level. Jennifer will then mention some of the steps that SCOPA has taken towards helping new librarians form mentoring relationships such as the professional development list, the publications web page, and the forums for discussing mentoring issues.

One goal of this meeting will be to convey the need for library-wide participation in this project. Before this meeting takes place, Diane will post the new promotion documents on the web.

  3. Forum addressing new promotion documents

Diane reminded the members of SCOPA that we had a greed to hold a forum to discuss the new promotion documents once they were complete. The new promotion documents are now complete have been approved by LMC. Diane suggested that forum be held as soon as possible. The forum is tentatively scheduled for Thursday, October 28, at 10am in the SML Lecture Hall. Jim will confirm the date with George Miles and will reserve the Lecture Hall through Jeong Min. Diane will have a printed copy of the promotion documents available at this forum.

  4. Jean Hirons from Conser

The forum presented by Jean Hirons went smoothly and was well attended.

  5. Forum on the state of the YUL - Scott Bennett

Jim reported that the dates have been confirmed for the forums at which Scott Bennett will speak. These forums will take place on Monday, November 1, from 10am - 12pm and Wednesday, November 3, from 3pm - 5pm. These forums will take place in the SML Lecture Hall.
