Helping Meetings Run Effectively
Step One: Purpose, Objectives
Timeframes and Stakeholder Participation
Review the purpose and
objectives and timelines for the task force and committee.
- Check that the purpose
and objectives are clear and complete.
- Check to be sure that
group membership includes:
- People to best achieve
the purpose and objectives. - Representatives of the stakeholders affected
by the group's work.
Step Two: Group Norms
Review YUL values.
- Decide on norms that
will govern how the group will work together including:
- How you will communicate
with each other during and after the meeting.
- How you will communicate
with stakeholders who are not present.
- How you will make decisions.
- How you will behave
with each other during meetings.
Step Three: Group Roles
Decide on what roles will
be helpful to achieve the purpose and objectives and help observe the group
norms including:
- Who will facilitate
or lead the meeting if a chair is not appointed?
- Will leadership be rotated?
When and how?
- Who will track time?
- What is expected of members?
- Will a record of meetings
be kept?
- Will a record of meetings
be available to those who would like or need access to it?
Step Four: Meeting Effectiveness
Check
At the end of each meeting,
check on:
- How well did we accomplish
the agenda for the day?
- Are we meeting our time
frames?
- What worked well during
the meeting?
- What should be changed
for the next meeting?
- How well did we observe
our norms and values?
