Batch Match Load (ORBIS)



This message is intended primarily for cataloging staff who are working
with records representing older material held in the "frontlog."

Tonight we will load into the Orbis production database approximately
47,156 records that are the result of OCLC "batch match" processing.

Earlier this year, we extracted from Orbis approximately 54,300 preliminary
bibliographic records representing older, uncataloged material currently
held in the "frontlog." The copy holdings record looks like this:

OCLC matched our records against the records that make up the WorldCat
database. Approximately 87% of our records were successfully paired with a
WorldCat record. What we will load into Orbis on Wednesday night is the
matching WorldCat record, which includes the Orbis key representing the
record it will replace.

The loader will not replace a record if it has a 927 field. 

If you are using a frontlog record, and are not yet ready to mark it for
export with the appropriate 927 field, you can prevent an overlay by
putting a "dummy" 927 field in the record. Instead of putting 927 'rlin' or
927 'tape', create a 927 with your name (e.g. 927::martha conway). It is
critical that you remember to update the 927 field (to 927 'rlin' or 927
'tape') when you're finished with the record.

An Orbis record that has been replaced with an OCLC "batch match" record
will have the following characteristics:

035 [OCLC number] (e.g. 035 :: $a (OCoLC)ocm34210856)
927 [OCBMMMDDYY] (e.g. 947 :: $a OCBM110899)
947 [ORBIS KEY] (e.g. 947 :: $a FKX1668)
