Team Leader, Order Support

THE UNIVERSITY AND THE LIBRARY
The University Library, which is a highly valued partner in teaching
and research at the University, has more than 10.5 million volumes housed
in the Sterling Memorial Library and 16 school and departmental
libraries. It employs a dynamic and innovative staff of nearly 600 FTE
who have the opportunity to work with the highest caliber of faculty and
students, participate on committees and are involved in other areas of
staff development. A full spectrum of library resources, from rare books
and manuscripts to rapidly expanding network of electronic resources,
constitutes one of Yale' s distinctive strengths. The Library is engaged
in numerous ambitious projects such as the renovation of the main library
building, the complete retrospective conversion of the Library's catalog,
and various automation projects, which include network access to
scholarly information and preservation imaging.
RESPONSIBILITIES
Reporting to the Chief Acquisitions Librarian, the Team Leader will
manage, supervise, and coordinate the day-to-day operations of the Order
Support Team, consisting of staff members, students and hourly
employees. This unit researches titles and places orders for all
book, standing order, periodical, “rush,” and non-book materials for the
Sterling Memorial Library (SML) as well as for other assigned school and
departmental libraries. Order management activities such as vendor
selection, claiming open orders, and monitoring of standing orders are
also the responsibilities of the Order Support Team. The ongoing
environment in the Acquisitions Department is one of continuous Process
Improvement with a pro-active and Quality-Oriented
approach. There is considerable
interfacing with both internal and external groups. Research
support and feedback is provided to Selectors regarding title
status, publisher information, and open orders. Coordination with
fellow Acquisitions Department Team Leaders in Monograph Support,
Fiscal Support, and Serials Support guarantees efficient and effective
workflow. Coordination with the Cataloging Department
ensures that orders created in Order Support meet established
bibliographic standards. The Team Leader also acts as a resource
for departmental and school libraries. External interfaces are
maintained with suppliers book vendors, subscription agents, and
publishers.
Responsible for Personnel Management, including the hiring,
training, and evaluation.
Supervise the Daily Operations, including the coordination of
workflow with other units, title research and reporting, vendor
selection, order placement, approval and standing order plan interfaces,
and claiming & title file status-ing; assure adherence to ordering
policies and standards. Manage the processing of Gifts, including
the searching, coordination of selection, receipt, and
acknowledgement. Coordinate and supervise the Exchange
program. Manage the discard program, including identification,
storage, and final disposition. Assign staff tasks. Identify and
solve problems. In the absence of other department managers is expected
to supervise Acquisitions Department staff, make or revise assignments
based on immediate workflow needs and/or considerations, and act as a
resource for problem solving. Implement Order Management
and Vendor Relationship activities, including ordering
profiles with suppliers, order transition at fiscal-year end; provide
vendor performance information; act as the “system administrator” for
vendors’ on-line ordering systems. Establish new suppliers and
monitor “terms & conditions.” Provide oversight regarding
library expenditures for materials. Assist with the placement of
special orders and in the management of special projects. Actively
participate in the Acquisitions Department Liaison with RSC and with
individual Selectors to ensure that priorities are met and quality
standards maintained. Manage the Review Plaza in terms of
organization, supplies, and overall maintenance of this selection
area. Document Procedures and Practices.
Develop/evaluate workflow for a high-volume, quality-oriented production
environment. Act as a resource to other units, teams, and
departments. Participate in the Acquisitions Management Team
and make recommendations regarding general departmental operations.
Gather, report, and analyze Statistical Information. Provide
leadership in Process Improvement and Quality Management
activities. Support other Acquisitions Department Team Leaders in a
variety of activities, during absences, and on special projects. May
participate in library-wide committees, working groups, and similar
activities.
QUALIFICATIONS
Bachelor’s degree and three (3) years of related experience or an
equivalent combination of education and experience. Experience as a
work leader or in the supervision of student and/or casual staff
members. Demonstrated ability to train. Thorough knowledge of
bibliographic databases and library management systems. Knowledge
of library technical services, acquisitions, especially approval and
standing order plans, and/or publishing or the book industry.
Familiarity with book selection and research tools. Excellent
interpersonal, organizational, or and written communication skills, and
above average business acumen and abilities in business
mathematics. Developed planning and organizational skills.
Ability to work effectively with staff in a team setting.
Preferred: Demonstrated supervisory/management skills. Reading
knowledge of one or more non-English languages.
