Preparing for a computer swap

Determine what software is being used on the computer you are replacing.

A list of all software supported by the library is located at http://www.library.yale.edu/lso/workstation/docs/software.htm (It is possible that a use may have software that is installed that is not listed. Please be sure that you are informed of this before you begin.)

To make this a much smoother process you should have a second circuit available to copy the files across the network.

For the purpose of this document the computer to be replaced will be called "the host" and the new machine will be called "the client"

On the host computer click start - run.
Type cmd - click OK
In the command prompt box type ipconfig /all |more
Make a note of the Host Name and IP Address

Close the command prompt box

Set up the client computer in the area of the second circuit.

Connect the keyboard, mouse, monitor, power and network cable.

Log in to the client as USER

Map to \\Banshee\workstn to make sure the network connection is active.

Map a drive to \\old computer name\C$ using a user name and password with administrator rights to the host.

 

Copy the following files from the host machine to the client machine


Acrobat Reader - There are no user settings involved with this program so nothing needs to be copied or added.


Aladdin Expander - There are no user settings involved with this program so nothing needs to be copied or added.


AOL Press - There are no user settings involved with this program so nothing needs to be copied or added.

Be sure to copy all of the HTML files the user had created using AOL Press.


Clarr - Copy the file clarr.ini from the clarr directory if it exists.


Eudora - Copy the following files from the eudora folder:

Eudora.ini
Ph.ini
Finger.ini
All files with a .mbx or .toc extension
Nndbase.txt


Then copy the folders


Attach
Filters
Nickname
Sigs
Stationary
any folder with a .fol extension

If your machine has multiple e-mail accounts:

Right click the icon you use to open Eudora. Select Properties. In the box next to target look at the path to the right of Eudora.exe and copy that folder to the new machine. In the following example you would copy the folder c:\mymail.

I.E. C:\Eudora\Eudora.exe c:\mymail

Create a shortcut to the Eurora.exe file. Right click the new shortcut and select properties. In the target box append the path of your personal mail files (c:\mymail in the case listed above). In the "Start In" box type the path of your personal mail files.

You will need to do this for each e-mail instance.


Host Explorer - Copy the folders and files inside the HostExplorer/User/hostex folder. These may include but are not limited to :

HotSpot
Keymap
PopPad
Profile
QuickKey
Scheme

After the files and folders are copied start host explorer in the open session dialog select OrbEdit.

Click Edit Profile Select Sessions -> General In the Auto Start Quick-Key Macro box select Autocon Click OK Click Connect. You should be taken directly to the Orbis password screen.

Because of the numerious configuration of host explorer you will need to locate where the software is installed. In most cases it will be located in the C:\Program files folder.


Internet Explorer - Copy the directory favorites from C:\WINNT\Profiles\


Meeting Maker - Copy the file COMAPRAM.INI


Netscape - Copy from C:\Program Files\Netscape\Users\default

Bookmark.htm
Liprefs.js
Prefs.js

Online Shelf List - There are no user settings involved with this program so nothing needs to be copied or added.


OCLC - Copy all files from the C:\OCLCAPPS\PASSPORT directory.

You will need to create a new OCLC session (ID and password) the first time you run this program.


Rlin - Copy all .key and all .ses files from the rlin directory.

*** If you want the enter key to send the command when pressed you need to: Select Settings -> Terminal. In the Enter Key section select Send Message.

Click OK Close RLIN.

When prompted if you want to save your current session settings? Select Yes.


Microsoft Office - There are no user settings involved with this program so nothing needs to be copied or added.

Be sure to copy all of the users Documents to the new machine.

Copy all files in C:\YALEDOCS

Copy all files in C:\winnt\profiles\<username>\personal\

To be sure you get all the files you can do a find for

*.doc - Word Documents
*.xls - Excel Document
*.mdb - Access Database
*.wpd - Word Perfect Documents


After all of the files are copied to the new machine:

Power off the old machine.

On the new machine right click My Network Places and select properties.

Right click Local Area Network and select Properties.

Click Internet Protocol (TCP/IP) and click the Properties button.

Under IP Address type in the IP of the old machine (you made a note of this when you typed IPCONFIG at the begining.)

Under Default Gateway type in the first three sets of numbers from the IP and use 001 as the last set.

Example: IP Address 198.98.98.98        Default Gateway 198.98.98.1

Click OK twice to close the Local Area Network Properties.

Right click My Computer. Click the Network Identification tab.

Click Properties.

Change the Computer Name to the HOST name you recorded from IPCONFIG at the beginning.

Click OK twice to close the System Properties window.

Reboot the machine.

Please remember to make an emergency rescue disk after you make the swap. Your old rescue disk will not work with your new machine.

To create a rescue disk under Windows 2000:
Click Start, select Yale Library Staff Workstation, select NTBACKUP

(if the icon is not present in Yale Library Staff Workstation click Start, Run, type NTBACKUP, Click OK)

Click the icon to the left of Emergency Repair Disk.
Make sure the "Also back up registry to the repair disk" is checked
Click OK.
Insert a blank floppy when prompted.
When the backup is complete remove the floppy, label it and store it in a safe location.
