Meeting Notes - 8/18/98

Introductions included a brief description of DL projects and interests as follows:

• Tim Young: EAD, Finding Aid Database Project. Commented about future merge/link between Finding Aid DB and BRBL IBM DL project.
• Martha Smalley: EAD, Finding Aid DB and Digital Image databases - Div has an 8K record photo collection, and a 2K record Christian History project (ADHOC and UBCHEA).
• Susan Williams: Visual Resources database, a.k.a., Imaging America. 320K Slides, 120K photos.
• Elisabeth Fairman, BAC - The Museum System (TMS). Now have 800 low resolution images, 12K records. Interested in EAD for manuscript collection which is now in a MS ACCESS database.
• David Parsell, Gallery - Also TMS with 70K bare bones inventory control records.

We reviewed our charge, and discussed the following general action plan:

• In Sept, research and document:
  • Metadata descriptions now being used at Yale including but limited to: record description(s), database/system (e.g., ACCESS, TMS, etc.) import/export capabilities and description of exported record, source and control of headings, available indexes, metatdata standard followed and deviation from standard
  • Research/document emerging metadata standards
  • Research/document other major research institutions' metadata decisions
  • We will prepare 'briefs' for review by the full committee. Briefs will be mounted on a committee website.
• Review/discuss findings during Oct
• Based on A and B, in Nov. prepare recommendation for metadata standard which will support requirements of Imaging America Project.

• Kalee Sprague - Dublin Core
• Matthew Beacom - Authorities, thesauri, issues of headings control across DL databases
• Martha Smalley - Document Div DL projects
• Elisabeth Fairman - Document BAC TMS; with D.Parsell document differences with the Gallery project; research MESL; keep us informed about the CDC Rights Management document
• David Parsell - Document Gallery TMS project
• Susan Williams - Document Visual Resources Project; Research VRA Core
• Audrey Novak - Research other institutions' decisions regarding metadata standards
• Tim Young - Document EAD and Yale Finding Aids
• George Miles - Document BRBL IBM DL project
• Tim White - Document Peabody digital project
