General Design Instructions
Yale University Library
30 July 1999

Performance:
We do not want to degrade performance as a result of any custom requests. Let us know in advance if any of our specifications will result in significantly increased response time. We'll re-evaluate those requests.

Number of hits and full record displays:
Page forward through guide, index and course reserve index result sets to display approximately 100 entries at a time. (If result set is less than 100, display the complete result set immediately). Accumulate result sets full-screen by full-screen until approx. 100 entries are gathered. For example, the call number browse and keyword index screens display 14 entries per screen. For these screens, advance 6 screens to display 98 entries at a time (first screen plus 6 advances). The Guide screen displays max.15 entries per screen. For the Guide screen, advance 6 screens.

For Brief View, Long View and Headings Information screens, page forward until the entire record is captured. For example, for the following record, page forward 9 times (first screen + 9 = 10 screens).

When to bold text:
Display all the field labels in Brief View, Long View, Copy Holdings, Detailed Holdings, and Course Reserves in Boldface. See the following sections for examples of labels:

13.7 Detailed Holdings: Empty MHLD -- Long View

17.1 Course Reserve Search
17.3 Course Reserve Detail

None of the index displays require scanning for high intensity text.
Areas of the screen which are not extracted from NOTIS will contain Boldface text as shown in the sample pages -- headers, footers, explanatory text, Advanced Search pages, etc.

The sample pages throughout this document have NOT been edited to reflect this change in the requirements for bolface text.

Help
All Help will be a URL link (and not, for example, pop-up windows or online help documentation.)

URL for Help
Unless otherwise provided, use the following address as a placeholder for all help URL's:
http://www.library.yale.edu/~coleman/crossplex/link.html.

Guide, Index, Brief View and Long View buttons:
Display Guide and Index buttons only when GUIde and INDex appear on the NOTIS screen. For example, when a search results in an Index screen, GUIde is not an option on the NOTIS screen. When a search results in a direct hit (Brief View), neither GUIde nor INDex are options in NOTIS.

Display Brief View button when BRIef View is an option on the NOTIS screen (i.e., when looking at the Long View). Display Long View button when LONg View is an option on the NOTIS screen.

Forward and Back buttons:
For GUIDE, INDEX and Course Reserve Index screens, display Back button when <F7> BACk page appears on the NOTIS screen. (UB Crossplex catalog displays the Previous button when Previous is not an option). Display Forward button when <F8> FORward page is displayed on the NOTIS screen.

For Brief View, Long View, and Course Reserve View Detail screens, display Back button when <F5> PREvious record appears on the NOTIS screen. Display Forward button when <F6> NEXt record appears on the NOTIS screen.

Note that in NOTIS, BACk and PREvious options are not available when positioned at the beginning of a results list or the first record in a results set. FORward and NEXt options are not available when viewing the end of a results list or the last record in a results list. The exception is the Call Number Browse screen where both FORward and BACk are always available except when at the beginning or end of the index.

The INDEX button:
The NOTIS index command works as follows:
a) Invoking the INDex command will return you to the index starting at the index entry that corresponds to the record number just displayed. If record 1000 of 3000 is displayed, the index display will begin at index entry 1000.

b) Invoking the INDex # command (where # = an index entry number such as IND 200) will return you to the index starting at the index entry that corresponds to the # value. If record 1000 or 3000 is displayed, entering INDex 200 will return you to the index starting at entry 200.

We want the INDEX button number window to fill in automatically.

  1. When displaying an index and guide screen it should fill in with the number of the first index/guide entry displayed. For example, if looking at entries 34-41, the index button number will be 34.
  2. On a brief or long view screen, the index button number window will display the record number. For example, if looking at record 41 of 306 Entries Found, the index button number will be 41.
  3. In Course Reserve searching INDex # is not an option in Course Reserves. There we do not want an INDEX button number window -- we want only an INDEX button.

The index button number window may be changed by the user to any number from 1-9999.

Eliminate Yale's processing unit from all Index screens:
Yale defines only one processing unit (YL) in NOTIS. Since this value never changes, we would like to eliminate it from all displays. Specifically, eliminate (YL) from the end of every Index entry display on all Index screens.

Status Blank and Not Checked Out:
In NOTIS non-barcoded items show a blank status. When barcoded and not checked out, the status is "Not checked out." Convert blank status to "Not checked out."

Error messages:
Error messages that appear on NOTIS between the command options and Next Command line should be displayed in a pop-up window in bold text (highlighted in native NOTIS). Include an OK button that closes the window.

For the error message, "RESULTS ARE INCOMPLETE. Use a longer search term (more letters before "?")," Replace the message text with, "RESULTS ARE INCOMPLETE. Search is too broad. Refine and search again." Include an OKAY button and a HELP button.

No Hits Screens:
Link to a single No Hits web page for the following screens:
No Keyword Entries Found
No Author Entries Found
No Subject Entries Found
No Title Entries Found
No Call Numbers Found

Diacritics and special characters:
Display all diacritics and special characters per separately faxed character map. Yale's data includes nulls. Convert nulls (x'00') to space (ASCII x'20').

Blank Input Forms
When blank input forms are submitted (from any search screen), display in a pop-up window the message:
"Search field(s) are blank. Please try again" -- include an OK button in window.

Persistent Search and Go buttons
Persistent Search elements are:

New Search:

Persistent Go buttons are:

Go:
Display Persistent Search and Go buttons at the top and bottom of long pages, e.g., whenever multiple NOTIS screens are concatenated into ca. 100 entry increments. Display Persistent Search and Go buttons at top and bottom of Brief View and Long View screens.

Display Persistent Search and Go buttons only at the top of short screens such as the:
Review Search List screen (invoked by the NOTIS REV command)
The Heading Information screen (invoked by selecting Index entries that read, "*For Information on this Heading, Type 1)
The Course Reserve Detail Screen
