Orbis Cataloging Manual
DERIVING FROM AN EXISTING ORBIS RECORD FOR ANOTHER EDITION
Existing Orbis bibliographic records may be used to create new records for another edition. This is done whenever there is no copy for the work in hand in either the RLIN data base or the LC resource file.
PROCEDURE:
FIXED FIELDS:
While all appropriate fixed fields must be changed to reflect the work being cataloged, it is most likely that changes will always occur with the date (DT/1) and frequently with the place of publication (PLACE).
VARIABLE FIELDS:
In addition to editing all of the bibliographic data contained in the record, the following fields must either be changed or deleted routinely:
VARIABLE FIELDS FOR SERIES, AREA TRACINGS AND LOCATION:
Because of either BNA processing or the specific conventions defined for the Orbis data base the above variable fields require special attention.
VARIABLE FIELDS FOR SERIES:
On records processed by BNA, all series statements appear as 490 and, if they are searchable, they are regenerated as 8XX tracings (generally field 830). When the series statement on the original Orbis record contains the form of series as it is established in the data base (excluding numbering), change the field tag to 440, add the series numbering, if appropriate, and delete the 8XX field carried from the original record.
VARIABLE FIELD FOR AREA TRACINGS:
Be sure to retain the area tracing code if it is contained in the Orbis record (it appears as field 630 04 when present). If the code is not present and is required for the work being cataloged, be sure to create this field according to the conventions given in the section of this manual titled Creating an Original Record.
VARIABLE FIELD FOR LOCATION:
The Orbis location code given in field 940 is required for all current locations, with the exception of SML. When the 940 field on the original source record contains the same location code as for the work being cataloged, nothing more needs to be done. Whenever the work being cataloged is for a different location, revise field 940 to reflect the location. See the section of this manual titled Creating an Original Record for specific conventions.
