USE OF LAW LIBRARY RECORDS

POLICY

Law Library catalog records may be used for cataloging functions and catalog maintainance functions in Orbis. Whenever possible, duplicate records for non-law locations should not be created.

Since the Law Library will continue to create and maintain their bibliographic records on RLIN, the use of Law Library records requires careful attention to specific details.

CATALOGING

CONDITION A: Law Library bibliographic record is available in Orbis

Separate provisional acquisitions record exists in Orbis for a non-Law location

PROCEDURE:

1. Do not search RLIN

2. Use the Law Library record by issuing the BOVL command to overlay the existing provisional record with the Law Library record

3. Edit the completed overlay record by deleting the following Fields:

035 RLIN ID for Law

590

949

950

955

998

4. Complete the Copy Holdings Record

5. Issue the CATL command to request shelf card

CONDITION B Provisional record on Orbis

Catalog record on RLIN LI CTYL

PROCEDURE:

1. Record the CTYL RLIN record ID

2. Place this number in the 035 Field on the Orbis Provisional record

3. Complete the Copy Holdings Record

4. Issue the CATL command to request shelf card

CATALOG MAINTENANCE:

1. Create any additional Copy Holdings and Volume holdings records as necessary

2. Copy specific notes must be placed in Copy Holding NOTES area. ( DO NOT use Field 590 on the bibliographic record for this purpose)

3. Contents may be updated

4. Other updates may be performed after consultation with either the Head Librarian, Law Cataloging or the Chief Cataloging Librarian
