Library of Congress CIP Records

USE OF LC CIP RECORDS

POLICY

Cataloging-in-Publication (CIP) records are included in the Library of Congress Resource file and are used for both acquisitions and cataloging purposes. The RLIN data base is not to be consulted or re-searched for upgrades to these records.
Cataloging processes require that whenever the provisional record represents CIP cataloging, the LTLC bibliographic file must be re-searched in order to determine if CIP cataloging has been upgraded by the Library of Congress to full record status.

Full cataloging records from LTLC must overlay the provisional CIP record by use of the BOVL command before any further cataloging activities take place. CIP cataloging records must overlay an original Orbis provisional record by the use of the BOVL command.

CIP records are upgraded only by cataloging staff.

CIP records which are used for cataloging purposes must be verified by careful examination of selected fields. Verification must be performed before a record is transferred from the Resource File (LTLC) to the Orbis production file (LTYL)

VERIFICATION OF CIP RECORDS: STANDARDS FOR CATALOGERS

NOTE: Since CIP records are created from preliminary publication data there may be significant variations between CIP copy and the item as published.

Field 010 (Library of Congress number) must match if given on the item

Field 020 (ISBN) should match

Variations may be present in the following fields:

245 Title and statement(s) of responsibility

250 Edition statement must match if given (it may not appear on CIP record)

260 Place of publication, date of publication form of publisher's name

4xx Series

When the cataloger has determined/verified that the CIP catalog record is for the work in hand, the record is ready for transfer and upgrade.

In case of doubt do not transfer a CIP record. Refer the item and the record to a catalog revisor.

GENERAL EDITING GUIDELINES FOR CIP RECORDS:

FIXED FIELDS:

EL Correct value to blank: Subjects will not index unless this is done

D/CODE Verify as either "s" for a single datepublication or "m" for multiple dates

DT/1 Must match the date of publication which appears on the item

VARIABLE FIELDS:

NOTE: Correct indicators and subfield delimiters must be supplied if absent, revised if incorrect.

040 Add |d CtY or other Yale NUC code.

1XX Verify form of name against Orbis LTYL and/ or LTLC whenever variations appear between title-page form and the bibliographic record form.

Variations in title-page form and heading form are accepted when the heading has been used in the same form on another bibliographic record.

A heading which is new to the data base (both ltyl and ltlc) and which varies in form between CIP and the title page will generally be modified to reflect the title page form of name.

245 The title proper, subtitle and statement(s) of responsibility must be modified to match with the title page. The indicator values 1 and 2 must be adjusted if incorrect.

Variations in statement(s) of responsibility between CIP and title page may affect 1xx and 7xx Fields; when in doubt consult with catalog reviser.

250 Edition statment may be added or modified to reflect its appearance on the item

260 Place of publication, publisher, and date of publication must agree with the information given on the item

263 Delete

300 Physical description must always be supplied; subfield delimiters must always be supplied

4xx Series statements must be supplied if not given on the CIP record; series fields, indicator values, and subfield delimiters must be supplied.

Series statements are accepted whenever both CIP and the item agree.

A series statement on CIP is deleted whenever there is no evidence that it appears on the item

5xx Accept any completed notes.

The bibliography note is to be completed to reflect extent of bibliography

600 Accept these name headings in the form in which they

610 appear on the CIP record unless there is clear evidence

611 from the published work or from the data base (ltyl or ltlc) that the heading used is in error

650 Accept all topical subject headings as given on the CIP record

651 Accept all geographical headings as given on the CIP record

700 Verify headings from the forms given on the work and

710 as they appear on the CIP record.

8xx Accept the forms of all traced series
