UNIFORM TITLES IN ORBIS RECORDS

POLICY
National cataloging standards require the creation of uniform titles in original cataloging records wherever called for in AACR2, as interpreted by the Library of Congress. In copy cataloging uniform titles will not routinely be added to source copy, but will ordinarily be included if already present in source copy or the authorized form is readily apparent.

HISTORICAL BACKGROUND

The Orbis database reflects a variety of practices with respect to the presence or absence of uniform titles in fields 130, 240, and delimiter t subfields in 6xx ,7xx, and 8xx fields. Formerly at Yale uniform title headings were added to records only for selected authors (mainly classical authors) or for certain works of other non-classical authors (i.e. Baudelaire's Fleurs du mal), for the Bible, anonymous classics, and music. When AACR2 was adopted RLG required the addition of uniform titles in original cataloging whenever the rules in chapter 25 called for them.

At Yale it was decided that original catalogers would add these uniform titles, but would not have them print on the cards (i.e. the first indicator in field 240 was 0) unless the author/title had formerly been organized in the card catalogs. RLIN to Orbis specifications made the first indicator in 240 to be 1 no matter what it had been in the original RLIN record. These specifications also converted delimiter t subfields in 1xx fields to 240 fields with the title level note "240 created in database load." In the cataloging of microforms and in certain recon projects, uniform titles were/are transcribed as is regardless of what the authorized AACR2 form may be. To require a totally consistent database in this regard would be a gargantuan task unjustified in the current context of budgetary restraints and would provide only minimally improved database structure and access.

From a public services point of view uniform titles are additional access points which may or may not help the patron. Access will always be available by author/title proper and by title proper alone; it will sometimes be available by author/uniform title or uniform title. The presence of a uniform title in a record for a given edition of a title should not be interpreted as a sign that such a heading will have been added to records for all editions.

Many authority records exist in the database for which 4xx author/title proper references have been made. These create apparent conflicts in jx displays where access is also available by author/title proper. Use of m searches (music opac in merged headings) eliminates this problem by displaying only the author/uniform title when there is one. Public Services must be alerted to see these references as pointers to the authorized form of uniform title and not as an indication that access is not also available by author/title proper.

PROCEDURE:

Original cataloging

1. Create uniform titles in cataloging records whenever called for by the cataloging rules in fields 130, 240, 440, 630, 730, 830 and delimiter t subfields of 6xx, 7xx, 8xx fields

First indicator of field 240 will always be 1

Authority records should be created or transferred from ltlc whenever references are needed

Note: author/title proper references are not routinely needed in the Orbis context (except for music) and need not be added to authority records except in the case of music. Use judgment in attempting to clear up conflicts regarding uniform titles. Authority records should not authorize conflicting headings, so inaccurate authority records (particularly those created by Blackwell North America) should be modified, replaced, or deleted when obvious conflicts are discovered.

Copy cataloging, LC derives

1. Leave fields 130, 240, 440, 630, 730, 830 and delimiter t subfields of 6xx, 7xx, and 8xx fields as is. Only in the situation in which a clear conflict is discovered with a name authority record are these fields to be modified to conform to the latest LC form

Copy cataloging, LC or other printed copy and RLIN member copy

1. Do not add a uniform title if one is not present in the source record

A uniform title may be added if it is obvious that present rules would call for one (i.e. in the case of translations) and the authorized form can be readily determined, but is not required

If a uniform title is present in printed source copy, in general transcribe the uniform title as is unless a conflicting AACR2 authorized form has been discovered, in which case use the authorized form. Consult revisor if in doubt

2. Strip the form subheadings Laws, statutes, etc.; Treaties, etc.; Liturgy and ritual (tagged as delimiter k subfields) in pre-AACR2 records in copy cataloging; they are no longer valid under AACR2
