THE VOLUME HOLDINGS RECORD

OVERVIEW OF ORBIS VOLUME HOLDINGS RECORDS

NEW RLIN BIBLIOGRAPHIC RECORD/NEW ORBIS VOLUME HOLDINGS RECORD

PROCEDURE:

1. Create or Derive the RLIN bibliographic record.

On the Holdings Screen:

Use VOL |z to state expected number of volumes

Enter the following code in RLIN LOC:

vols

Request tape output only (i.e. t)

NOTE: No RLIN shelf cards can be generated

DO NOT COMPLETE any other RLIN Holdings Screen Fields (with the exception of VOL |z)

DO NOT USE NOTE IN ANT OR LANT: Library has:

DO NOT USE CODED NOTES IN ANT OR LANT: #28,#29,etc.

2. Update the Orbis provisional record or, as necessary, create one. The following data must be included:

Field 035 (RLIN ID)

Orbis location code/copy call number

3. Order shelf list card using the CATL command

4. Create the Volume Holdings Record for the specific copy and location.

Use the command:

vhld[space]-[space][copy statement number]

vhld - 1

5. Enter volume holdings information in the format given in the document Standards for Multi-part Monographs in Multi-part Orbis Holdings Records (draft, 3/7/90).

UPDATING ORBIS BIBLIOGRAPHIC RECORD/EXISTING VOLUME HOLDINGS RECORD FOR THE SAME COPY

PROCEDURE:

On the Orbis bibliographic record:

1. Delete 590 note, if present for the same location, which begins:

[location]: Library has:

2. Update Contents note, if present

From the Copy Holdings Record:

1. Update the Volume Holdings Record by using the command:

vhld[space]-[space][copy statement number] i.e.

vhld - 2

2. Enter volume holdings information in the format given in the document Standards for Multi-part Monographs in Multi-part Orbis Volume Holdings Records (draft, 3/7/90).

DO NOT REQUEST SHELF LIST CARD

UPDATING ORBIS RECORD TO ADD A NEW LOCATION/CREATE VOLUME HOLDINGS RECORD FOR A NEW COPY

PROCEDURE:

1. Add new location and call number to the Copy Holdings Record

2. From the Copy Holdings Record, create the Volume Holdings Record by using the command:

vhld[space]-[space][copy statement number] i.e.

vhld - 3

3. Enter volume holdings information in the format given in the document Standards for Multi-part Monographs in Multi-part Orbis Volume Holdings Records (draft, 3/7/90).

4. Request card for shelf list if appropriate
